Using the correct conventions helps it to read how it was intended to be read, and gives the document the intended tone of voice. Conventions should be altered for its audience; for example if you were writing to a friend you could use informal, possibly even including slang. However, your conventions would be closely looked at whilst writing to a customer as it helps to give the company a sophisticated image.1.4- Explain the importance of using appropriate body language and tone of voice when communicating verbally.

The majority of communication made face-to-face is made and expressed through body language and tone of voice. The emotion you express, the emphasis onto different words and how you move your mouth all come under tone of voice. For example, if you spoke negatively and not pronunciating correctly the person whom you were speaking to would assume you were not interested. The way you speak and the words you use is important in communicating as it keeps interested of the person you are speaking to, but also keeps thing professional. If you spoke how you would with a friend, casually, using abbreviated words etc. This would not come across professionally and would not impress whomever you were speaking to. The same sentence can mean various things depending on the way you say it.

Body language is important when communicating as it portrays how u are feeling about the situation. For example, if you were slouching and looking at the ground it doesn’t look as though you are interested in the conversation; whilst in a business environment you should stand with your shoulders back and make eye contact – this looks professional and confident. All things such as eye contact, facial expressions, composure and gestures are all important when focusing on body language.
